Refund policy

Scrivia Labs sells bespoke, done-for-you service engagements to businesses — aesthetic clinics, medical spas and laser specialists. We do not sell to consumers, and our services are not bought through an online checkout. This page explains how fees, cancellation and refunds work. Your signed agreement takes precedence if it says something different.
How an engagement is agreed
- A strategy call to understand how enquiries reach your clinic today.
- A written proposal with the scope, fees and responsibilities for your clinic.
- A signed agreement, including a data processing agreement, before any work starts.
Nothing on the website is an offer that can be accepted. Fees are quoted per clinic in the proposal.
Fees
- Implementation fee: covers workflow design, configuration, integration, testing and handover.
- Monthly subscription: covers monitoring, updates to approved answers, pricing and availability rules, follow-up refinement and reporting.
- Media spend (Scrivia Growth Partnership only): a separate advertising budget agreed with your clinic and confirmed in the proposal.
- Third-party and usage costs, such as messaging, scheduling or advertising platforms: handled as set out in the proposal.
Invoicing and payment
The implementation fee is invoiced as set out in the proposal. The subscription is invoiced monthly. Currency, payment terms and any applicable VAT are stated in the proposal and on each invoice. Invoices may be issued and paid through this website.
Payments from patients
Scrivia Labs does not collect or hold payments from patients. Any payment a patient makes to a clinic goes through the clinic’s own payment provider and policies.
Results
We design, connect and manage the systems agreed in your proposal. We do not guarantee a particular number of enquiries, bookings, attendances or revenue: results depend on factors such as your offer, prices, availability, market and advertising budget.
Cancellation
The monthly subscription continues until the engagement is cancelled. Unless your agreement sets a minimum term or a different notice period, either party can cancel with 30 days’ written notice by email to scrivialabs@gmail.com. The engagement then ends at the close of the notice period. When it ends:
- campaigns we manage are paused at the end date;
- the workflows we configured are handed over or switched off, as agreed with your clinic;
- clinic and patient data we process for you is returned or deleted as set out in the data processing agreement;
- your clinic keeps its own accounts, calendar, payment provider and patient records.
Refunds
- Implementation fee: if an engagement is cancelled before implementation work starts, any implementation fee already paid is refunded in full. Once work has started, it is not refundable, except for any part of the agreed work that we fail to deliver.
- Monthly subscription: not refunded for a month that has already started. If we end an engagement ourselves for reasons other than a breach of the agreement by your clinic, we refund any subscription paid for the period after the end date.
- Media spend: handled as set out in your proposal. Any prepaid advertising budget that has not been spent when an engagement ends is returned or credited.
- Third-party costs already paid on your behalf, such as platform or usage fees, can only be refunded if the third party refunds them to us.
To ask for a refund, email scrivialabs@gmail.com with your clinic name and the invoice concerned. We reply within 10 business days, and approved refunds are paid to the original payment method or by bank transfer.
Governing law
These terms are governed by Swedish law, and disputes are settled by the courts of Sweden.
